Here is the full timeline, from 12 months before your climb to the morning you wake up at base camp ready to summit.

Book a minimum of 3–4 months in advance for best route and date availability, especially for January–February and September–October. The Northern Circuit needs 4–5 months as it has fewer scheduled departures. Last-minute bookings (under 6 weeks) are sometimes possible but your preferred route and dates will be more limited. Last-minute feasibility depends on: route (Machame has more flexibility than Northern Circuit), group size (solo climbers joining a group have the best last-minute options), and season (shoulder months March, May, November are more flexible than peak January/February or September/October).

This is the research phase. Read operator websites, compare itineraries, check guide credentials, look at porter welfare policies, and ask questions via email or WhatsApp. Look specifically at: guide-to-climber ratio (1:3 is standard; anything higher means less support), what is included in the price (park fees, accommodation, food, equipment?), and porter treatment policies.

Pay your deposit
Mount Kilimanjaro Climb requires a 30% deposit to confirm your booking. The remaining 70% is due 6 weeks before your climb. Once your deposit is received, we begin the logistics: reserving your park entry permits (these are non-refundable and allocated per person per date — they are the first thing to sell out), briefing your guide team, arranging equipment and food supplies.
Pay the balance
The remaining balance is due 6 weeks before your climb. At this point, we send your comprehensive pre-departure guide: packing list, training plan, visa advice, flight confirmation checklist, travel insurance requirement, and what to expect on each day. Your guide makes contact at this stage — you can message them directly with questions.
Final preparation
Confirm your flights. Purchase any remaining gear from the packing list. Begin the specific training phase (see our 12-week training plan). If you are taking medication, confirm you have enough for the duration plus extra in case of delay. Arrange travel insurance with trip cancellation and medical evacuation coverage.
Arusha / Moshi
Mount Kilimanjaro Climb meets you at Kilimanjaro International Airport (JRO) or your Arusha/Moshi hotel. Day 1 is a rest and preparation day — equipment check, briefing with your guide, and early night. Do not skip the rest day. Your body is adjusting to a new timezone and altitude begins immediately at Arusha (900m).
Best Months to Book: What to Consider
The best months for climbing Kilimanjaro are January–February and September–October. These are also the most competitive months to book. If you are flexible on timing, the shoulder months (March, May, November) offer meaningful discounts and more availability.

What Makes a Booking Official
A verbal conversation or email exchange is not a booking. A booking is confirmed when a deposit has been paid and you have received written confirmation including a booking reference number and invoice. Mount Kilimanjaro Climb cancellation policy: 30+ days before departure — full refund minus a 10% administrative fee. 15–29 days — 50% refund. 7–14 days — 25% refund. Under 7 days — no refund. We strongly recommend purchasing travel insurance with trip cancellation cover at the time of booking.
Do I need to pay park fees separately?
Park fees are included in Mount Kilimanjaro Climb' climbing price. These include: Kilimanjaro National Park entry fee (currently $60–70 per person per day), hut or camping fees depending on route, rescue fee, and government taxes. We do not add any surcharges on top of park fees. Some operators quote a lower base price and add park fees separately — always check whether park fees are included when comparing quotes.
