When to Book Kilimanjaro

The complete timeline — from 12 months out to 2 weeks before your climb.

March 22, 202611 min read

One of the most common questions we are asked at Mount Kilimanjaro Climb is some version of: "How early do I need to book?" The honest answer is: earlier than you think, but not as early as the operators who use scarcity tactics will tell you. Here is the full timeline, from 12 months before your climb to the morning you wake up at base camp ready to summit.

How far in advance should I book my Kilimanjaro climb?

Book a minimum of 3–4 months in advance for best route and date availability, especially for January–February and September–October. The Northern Circuit needs 4–5 months as it has fewer scheduled departures. Last-minute bookings (under 6 weeks) are sometimes possible but your preferred route and dates will be more limited. The single most reliable strategy is to book 4+ months before your target month.

What is the step-by-step process to book Kilimanjaro?

The process has five steps: (1) Submit an enquiry via WhatsApp, email, or our website. (2) Receive a detailed proposal within 24 hours including route, itinerary, and pricing. (3) Confirm by paying a 30% deposit. (4) Receive your pre-departure guide 6 weeks before. (5) Pay the remaining balance 6 weeks before the climb. You are in direct contact with your guide throughout the entire process. See our booking deposit and payment process for full details.

Can I book a Kilimanjaro climb at the last minute?

Yes — in certain circumstances. Mount Kilimanjaro Climb has accommodated climbers with as little as 2–3 weeks notice when existing scheduled departures had space. Last-minute feasibility depends on: route (Machame has more flexibility than Northern Circuit), group size (solo climbers joining a group have the best last-minute options), and season (shoulder months March, May, November are more flexible than peak January/February or September/October).

The Step-by-Step Booking Process

01
12 months before

Decide: this is the year

Fix your target month. Research routes — our route comparison and route-by-month guides help you decide. You do not need to choose an operator yet, but having your target month in mind means you can act quickly when you are ready. Start watching flights.

02
6–12 months before

Choose your route and operator

This is the research phase. Read operator websites, compare itineraries, check guide credentials, look at porter welfare policies, and ask questions via email or WhatsApp. Look specifically at: guide-to-climber ratio (1:3 is standard; anything higher means less support), what is included in the price (park fees, accommodation, food, equipment?), and porter treatment policies.

03
4–6 months before

Submit your enquiry

Contact Mount Kilimanjaro Climb with your preferred route, dates, and group size. We respond within 24 hours with a detailed proposal. If you are booking with another operator, now is the time to confirm. Do not delay this step — popular months (January, February, September, October) do fill 3–4 months in advance.

04
Upon confirmation

Pay your deposit

Mount Kilimanjaro Climb requires a 30% deposit to confirm your booking. The remaining 70% is due 6 weeks before your climb. Once your deposit is received, we begin the logistics: reserving your park entry permits (these are non-refundable and allocated per person per date — they are the first thing to sell out), briefing your guide team, arranging equipment and food supplies.

05
6 weeks before

Pay the balance

The remaining balance is due 6 weeks before your climb. At this point, we send your comprehensive pre-departure guide: packing list, training plan, visa advice, flight confirmation checklist, travel insurance requirement, and what to expect on each day. Your guide makes contact at this stage — you can message them directly with questions.

06
2–4 weeks before

Final preparation

Confirm your flights. Purchase any remaining gear from the packing list. Begin the specific training phase (see our 12-week training plan). If you are taking medication, confirm you have enough for the duration plus extra in case of delay. Arrange travel insurance with trip cancellation and medical evacuation coverage.

07
Arrival day

Arusha / Moshi

Mount Kilimanjaro Climb meets you at Kilimanjaro International Airport (JRO) or your Arusha/Moshi hotel. Day 1 is a rest and preparation day — equipment check, briefing with your guide, and early night. Do not skip the rest day. Your body is adjusting to a new timezone and altitude begins immediately at Arusha (900m).

Best Months to Book: What to Consider

The best months for climbing Kilimanjaro are January–February and September–October. These are also the most competitive months to book. If you are flexible on timing, the shoulder months (March, May, November) offer meaningful discounts and more availability.

Peak Season (Jan–Feb, Sep–Oct)

  • Best summit conditions and clearest weather
  • Highest demand — book 4–6 months ahead
  • Northern Circuit and Machame popular dates fill 5+ months out
  • Flights are more expensive — book early
  • Most operators offer scheduled group departures

Shoulder Season (Mar, May, Nov)

  • April–May is the long rainy season — fewer climbers
  • Routes are quieter, camps less crowded
  • Operators offer discounts of 10–20% vs peak
  • Green season photography is exceptional
  • Book 2–4 months ahead — availability good

What Makes a Booking Official

A verbal conversation or email exchange is not a booking. A booking is confirmed when a deposit has been paid and you have received written confirmation including a booking reference number and invoice. Do not make travel arrangements (non-refundable flights, time off work) until you have written confirmation of your booking and deposit payment.

What your confirmation from Mount Kilimanjaro Climb includes

  • Booking reference number and invoice
  • Your confirmed climb dates and route
  • Deposit amount paid and balance outstanding
  • Balance due date
  • Your guide's name (when assigned — typically 6 weeks before)
  • Cancellation policy in writing
  • Next steps: pre-departure guide delivery timeline

Can I Book at the Last Minute?

It depends. Mount Kilimanjaro Climb has accommodated climbers with as little as 2–3 weeks notice when existing scheduled departures had availability. The feasibility of last-minute booking depends on three factors:

  1. Route: Northern Circuit has fewer scheduled departure dates than Machame and requires more logistical lead time (itinerary planning, porter allocation, permit booking). Last-minute Northern Circuit is more difficult.
  2. Group size: Solo climbers joining an existing group departure have the best last-minute options. Private departures (your own group) require more lead time.
  3. Season: Shoulder season (March, May, November) has more last-minute flexibility than peak season.

If you are planning a last-minute climb, contact us by WhatsApp — it is the fastest channel. Describe your flexibility (dates, route preferences, group size) and we will tell you immediately what we can offer.

Frequently Asked Questions

How far in advance should I book my Kilimanjaro climb?

Mount Kilimanjaro Climb recommends a minimum of 3–4 months in advance for the best route and date availability, especially for January–February and September–October climbs. For the Northern Circuit (our most recommended route for first-time climbers), 4–5 months is advisable as it runs fewer departure dates than Machame. It is possible to book with as little as 4–6 weeks notice if availability exists — we have accommodated last-minute climbers — but your route and preferred date options narrow significantly the closer to the climb you book.

What is the booking process with Mount Kilimanjaro Climb?

The process has five steps: (1) Initial enquiry via our website form, WhatsApp, or email. (2) Consultation — we respond within 24 hours with route and date recommendations. (3) Proposal — we send a detailed climbing proposal including itinerary, inclusions, and pricing. (4) Deposit — a 30% deposit secures your booking. (5) Pre-departure — we send a comprehensive pre-departure guide, packing list, and training recommendations. You are in direct contact with your guide throughout.

Can I book a Kilimanjaro climb at the last minute?

Yes — in certain circumstances. Mount Kilimanjaro Climb has accommodated climbers with as little as 2–3 weeks notice when availability exists on our existing scheduled departures. However, last-minute bookings come with constraints: your preferred route may not be available, your preferred date may already be filled, and flights may be more expensive. If you are determined to climb on a specific date, the only reliable strategy is to book 3+ months ahead.

What happens if I need to cancel my Kilimanjaro booking?

Mount Kilimanjaro Climb cancellation policy: 30+ days before departure — full refund minus a 10% administrative fee. 15–29 days — 50% refund. 7–14 days — 25% refund. Under 7 days — no refund. We strongly recommend purchasing travel insurance with trip cancellation cover at the time of booking.

Do I need to pay park fees separately?

Park fees are included in Mount Kilimanjaro Climb' climbing price. These include: Kilimanjaro National Park entry fee (currently $60–70 per person per day), hut or camping fees depending on route, rescue fee, and government taxes. We do not add any surcharges on top of park fees. Some operators quote a lower base price and add park fees separately — always check whether park fees are included when comparing quotes.
