Booking Guide
Kilimanjaro Booking Deposit & Payment Process
Everything you need to know before you pay — deposit amount, lifetime deposit concept, payment methods, balance timing, and what happens after you book.
Most climbers spend weeks researching routes and comparing prices. Then they reach the payment screen and pause — uncertain about what they are actually committing to. That hesitation is rational. This page removes the ambiguity.
Mount Kilimanjaro Climb has processed thousands of bookings over 48 years of operation. This is the exact process we use, the exact amounts involved, and exactly what each payment means for your climb. No fine print surprises.
How the Booking Process Works
Choose your route and dates
Browse our route comparison page or message us directly on WhatsApp. If you are unsure which route fits your fitness level and timeline, we will recommend based on your profile — no obligation to book.
Confirm availability via WhatsApp
We check real-time permit availability for your chosen route and dates. Most departures run with 1–12 climbers. We confirm within 24 hours whether your dates are available.
Secure with a USD 350 lifetime deposit
A USD 350 deposit per climber holds your spot. This is a lifetime deposit — it never expires and applies to any future date if you need to reschedule.
Secure Payment
Your card never touches our servers. All payments processed via encrypted payment processor — PCI compliant.
Lifetime Deposit Guarantee
Your USD 350 deposit is yours until you climb. Change dates at any time — no extra deposit, no admin fees.
Book Directly — No Brokers
Tanzania-owned since 1978. 2,000+ successful summits. You deal directly with us — no international booking broker takes a cut.
The Lifetime Deposit — What It Is and Why We Use It
What it is
USD 350 per climber. It is not a fee — it is a credit against your total climb cost. It holds your spot on the mountain from the moment you pay it, indefinitely.
What it covers
The deposit secures your park permit, your guide assignment, and your equipment allocation. It eliminates the double-booking risk that leaves climbers stranded with no permit weeks before departure.
Why it exists
It shows serious intent from both sides. For us, it covers the administrative cost of reserving your spot. For you, it means your climb date is genuinely protected — not just held tentatively while you keep looking.
Key fact: The lifetime deposit applies to any future departure date. If you need to change your climb, there is no additional deposit. The same USD 350 holds your new date.

Payment Schedule — When the Rest Is Due
Rescheduling vs cancelling
Need to change dates?
Tell us at least 8 weeks before your original departure. Your lifetime deposit transfers to the new date with no additional charge. Park permit fees already paid to Tanzania National Parks are non-refundable, but we handle the rebooking administration at no extra cost.
Need to cancel?
30+ days before departure: full refund minus a 10% admin fee. 15–29 days: 50% refund. 7–14 days: 25% refund. Under 7 days: no refund. The reason is straightforward — park permits and guide assignments are committed well in advance and cannot be resold within a week.
Payment Methods We Accept
Bank Transfer
Tanzania USD account — lowest fees for international transfers. We provide full bank details with the invoice.
Credit Card
Visa and Mastercard accepted. Note: card payments attract a 3% processing fee, which we pass on transparently.
Wise / Revolut
Popular with international climbers. Often the cheapest option for USD transfers from Europe, UK, or US. We provide our USD account details.
Cash on Arrival
Pay in cash (USD or Tanzanian shillings) when you arrive in Moshi. Useful for local extras and tips.
Bank transfer is the preferred method — it carries the lowest fees and is the most straightforward for both parties. Full payment instructions are included in your booking confirmation email.
What Happens After You Pay
Booking confirmation
You receive a written confirmation by WhatsApp and email. It includes your booking reference, route, dates, guide name, and a full price breakdown.
Pre-climb information pack
Your comprehensive gear guide, training preparation plan, and a personal introduction message from your lead guide. This is the start of the relationship — you can message your guide directly before the climb.
Mid-point reminder
We check in to confirm your flights, answer any last-minute questions, and confirm airport transfer arrangements.
Final briefing
Final logistics: what time we collect you from your hotel in Moshi, what to pack in your daypack vs what the porters carry, and a weather update for your summit night.
Meet your team
Your guide and support team are introduced. Final kit check. You do not meet your porters for the first time on the mountain — you have already seen them.
